Privacy policy

Last updated 15 October 2026. The short version is on our security and privacy page.

1. Who we are

This policy is from TradeShowPal, based in Florida, United States ("we"). You can reach us about privacy at support@tradeshowpal.com.

2. Two kinds of personal data

Your own data (your account, and how you use TradeShowPal): we decide how it's used, so we are its controller.

The contacts you capture (the people you meet at shows): you decide who to capture and why, so you are their controller. We store and process them only on your behalf, to provide TradeShowPal to you, as your processor.

3. What we collect

  • Account: your email address and name, and if you tell us, your company and whether you exhibit or visit.
  • What you capture: contacts' names, job titles, companies, email addresses, phone numbers and websites; photos of cards, badges and products; voice recordings and their transcripts; your notes, tags, priorities, meetings and follow-ups.
  • Teams: which teams you belong to and your role in them.
  • Your digital card, if you set one up: the details you choose to put on it. They're public to anyone who has its link, until you change or delete the card. When you share it, we note when that link was opened and saved, so the app can tell you; nothing about the person who opened it.
  • Sign-in: one-time sign-in codes and session tokens, stored only in scrambled (hashed) form, plus the device name and when each session was last used.
  • Website form: the email address, role and page you send us from this website.

To prevent abuse, our server briefly keeps IP addresses in memory, for up to an hour, to limit repeated requests. We don't keep them in logs.

We don't sell personal data, show ads, or use it for profiling.

5. Who processes data for us

We run TradeShowPal ourselves. Like any online service, we rely on service providers, for example to run our servers and deliver our emails. They process data only on our behalf and under our instructions. We don't sell personal data or share it for advertising.

Photos of cards and badges are read on your phone, and when you're online read again with AI on our servers, to fill in the contact's details. Only the details found are kept from that reading.

When you load a show's exhibitor list from a link, our servers open that page to read the list. If you give your login for a list that needs signing in, it's used for that import only and never stored.

When a code you scan or an NFC card you tap holds a link, for example to someone's digital business card, our server opens that link to read the contact details behind it. The site behind the link sees a visit from our server, not from you or your phone.

This website uses Google Analytics: see cookies and storage. Your data may be stored and processed in countries other than your own.

6. How long we keep it

  • Your account and workspace data: until you delete them or delete your account.
  • Deleted data leaves our live systems at once, and our backups within 60 days.
  • Sign-in codes: 15 minutes. Sessions: until you sign out, or delete your account.
  • Emails from the website form: until you create your account, or ask us to remove you.

7. Your rights

You can access, correct, export or delete your personal data, object to or restrict how we use it, and withdraw any consent you've given. Most of this you can do yourself in the app; for anything else, email support@tradeshowpal.com and we'll answer within one month. You can also complain to your data protection authority.

If someone you captured asks you about their data, you can find, edit, export or delete their contact in the app. If they contact us directly, we'll pass their request on to you.

8. Your responsibilities for the contacts you capture

Keeping business contacts from a trade show is usually fine, but it's up to you to have a valid reason to keep each person's details and to tell them when the law requires it. Always ask before recording a conversation.

9. Cookies and storage

This website uses Google Analytics cookies. They tell us which pages people visit, which site or search brought them here, and their device, browser and approximate location. We don't send Google your name or email address, and Google's advertising features are turned off. Google keeps this data for up to 14 months. If your browser sends a Global Privacy Control signal, we don't load Google Analytics at all. You can also block it with your browser's settings or Google's opt-out add-on.

The app and the web workspace use no analytics. They store your data and your sign-in on your device, which is needed for them to work.

10. Children

TradeShowPal is a business tool and isn't meant for anyone under 16.

11. Changes

If we change this policy, we'll update this page and the date above. For important changes, we'll also email account holders before they take effect.
